The challenge
A multi-clinic healthcare provider was still taking most appointment bookings by phone, with each clinic keeping its own paper or spreadsheet schedule. Patients had no way to check real appointment availability themselves, double-bookings happened when two staff members updated a schedule at the same time, and clinics had no shared view of which doctors were free across locations.
The provider needed patients to be able to book, reschedule, or cancel an appointment themselves, while giving clinic staff a reliable, real-time schedule they could trust — without patients being able to see any other patient's information.
Our approach
We built a patient-facing mobile app for booking appointments, alongside a clinic-side scheduling system that both read from the same real-time source of truth — so a slot booked from the app is immediately unavailable to clinic staff, and vice versa. Patients can browse doctors and available time slots by clinic and specialty, book or reschedule directly, and receive appointment reminders, without any staff member needing to manually update a spreadsheet.
Clinic staff get a scheduling dashboard with a live view across every location and doctor, so front-desk teams can see availability network-wide instead of only their own clinic's paper calendar. Patient data access is scoped per clinic and per role, and appointment history is retained per patient for continuity of care across visits.
Outcome
Patients can now book, reschedule, or cancel an appointment themselves at any time, and double-bookings from simultaneous manual updates are no longer possible since every clinic reads from the same live schedule. Front-desk staff have a real-time, network-wide view of availability instead of relying on each clinic's own paper or spreadsheet calendar.
